Victoria Bowmen Meeting Minutes Aug 15th, 2024
Attendance:
Al Wills, Helena Myllyniemi, Frank Perry, Greg Birtwistle, Sofija Jewell, Rowan Kew, Nolan Curtis, Brad Barclay, Ellen Vander Hoek, Vesa Myllyniemi.
1. CALL TO ORDER
The meeting was called to order by the President at 6:30pm with the reading of the Land Acknowledgement.
2. CHAIRMAN’S OPENING REMARKS
The President welcomed everyone and commented on the need for new blood and for the need for others to step up to organize events for the club.
3. CORRESPONDENCE
The club has been asked about feedback on JOP gender and distance issues. Discussion ensued and it was agreed that we would not support JOP integrating Boys and Girls.
Al has received numerous questions on drop in and lessons, all were answered.
4. APPROVAL OF THE MINUTES OF THE PREVIOUS MEETING
The minutes of the last meeting (June 20th) were posted on the website.

5. REPORTS
Mailmatch (Brad)
Mailmatch medals from the ’24 indoor season have been received and will be presented ~ Archery Canada has significantly reduced the number of ‘Mailmatch Category’ pins and certificates
Classes (Brad)
Classes start again September 22nd.
Membership/Drop in (Ellen)
126 members as of July 11th – Not likely to see any more members until October as there is no way to prorate membership because of the Archery Canada/BCArchery policies. There have been a number of inquiries.
Al also reported that he had done the necessary paperwork to align the new payment system from WePay to the new Pay Safe system.
The next Drop-in Sessions begin September 16th, and most Mondays after that until December 16, all dates are now on the Victoria Bowmen Calendar.
Range Safety Officer (Frank)
We need more Safety Officers, and/or at least get more of those qualified to step up to blow the whistle now and then so Frank can have a break.
Summer Classes (Sofija)
Summer Classes are complete, no more waitlists.
Commonwealth Classes/Treasurer (Helena)
Camps were full all summer, Parent/Child classes went well, will probably recommend that classes no longer have children younger than 8, as 90 minutes is just too long.
Saanich is a bit behind in their payments, we should be seeing a few thousand soon.
We have completed the back payment owed to us from Saanich, for lack of payment for drop-in, to the tune of about $10,000.00.

Email forwarders have been checked and re-routed as necessary; AGM notices have been posted on the website.
6. BUSINESS ARISING FROM THE MINUTES
No business arising from the minutes.
7. NEW BUSINESS
- 2024/25 Tournaments
We would like to host some tournaments, however Saanich Commonwealth Place is just too small and too busy, however, we could still host the JOP Regional as required.
We normally try to host either the Archery Canada Regional Indoor or the MICA, leaving the other to Cowichan Bowmen.
Sofija suggested McKinnon Gym might be available for tournaments, she will check into it. We have the necessary support equipment already (butts, stands, numbers, timers etc.).
- Other events – Al will liaise with Cowichan Bowmen to see what tournaments they are hosting and which of the MICA or Regional Indoor they would prefer.
8. DISBURSEMENTS FOR APPROVAL
$339.14 for 300 60cm Targets from Canada Archery Online. Moved Brad/2nd Vesa Carried

AGM September 19th, 6:30PM Douglas Fir Room, Saanich Commonwealth Place.
